1. Who we are

Droombos Estate is operated by XXXX (registration number XXXX), Farm Klein Windhoek Portion 41, Windhoek, Namibia (“Droombos”, “we”, “us”). We run the boutique hotel, the Birdcage Restaurant, Rosewood Pub and our event and conference venues.

This policy explains how we collect, use and protect your personal information when you visit droombos.com.na, make an enquiry or booking, or stay, dine or attend an event with us. If you have any questions, contact us using the details in section 13.

2. Information we collect

Information you give us

Enquiry and contact forms: your name, email address, phone number, what your enquiry is about and your message.

Event and wedding enquiries: also the type of event, preferred date, number of guests, the venues you are interested in and any details you share with us.

Bookings: guest names, contact details, travel dates, room and activity preferences and special requests. Online bookings are made through our booking engine, provided by Profitroom. Card payments are processed securely by the DPO payment gateway, and we do not store full card numbers.

Stays: the information needed at check-in, which may include identity document details where the law requires it.

When you email, call or message us, for example on WhatsApp or social media.

Special requests can include dietary or accessibility needs. We use this only to look after you properly.

Information collected automatically

When you visit our website we, and the providers listed in section 6, may collect your IP address, device and browser type, the pages you view, how long you stay and how you arrived (for example, which advert you clicked). This is collected through cookies and similar technologies.

3. How we use your information

To respond to your enquiries and prepare quotes and proposals.

To manage your reservation, stay, dining or event, including check-in, payments and communication before and after your visit.

To arrange services you ask for, such as airport transfers, tastings and activities with our partners.

To send you news and offers if you have agreed to this, or about similar services where the law allows. You can unsubscribe at any time.

To understand how our website is used and to measure and improve our advertising, with your consent where the law requires it.

To meet our legal, tax and accounting obligations, and to protect the safety and security of our guests, staff and property.

If you are in the European Union or United Kingdom, we rely on these legal grounds: performing a contract with you (bookings), our legitimate interests (running and improving our business), your consent (marketing cookies and marketing messages) and legal obligations (tax and accounting records).

4. Who we share it with

We do not sell your personal information. We share it only where needed:

Our online booking and reservation provider (Profitroom) and our payment gateway (DPO), to process your booking and payment.

Activity, transfer and wellness partners, only the details they need to provide a service you have booked.

Our technology providers, including Hostinger (website hosting) and Microsoft 365 (email).

Advertising and analytics providers, including Google (Analytics, Ads, Maps and Fonts) and Meta (Facebook and Instagram), as described in section 6.

Professional advisers, auditors, insurers and authorities, where required by law or to protect our rights.

A buyer or successor, if our business is sold or restructured.

5. International transfers

Some of our providers, such as Google, Meta, Microsoft, Profitroom, DPO and Hostinger, store or process information outside Namibia, including in South Africa, the European Union and the United States. Where this happens we rely on the safeguards those providers put in place, such as standard contractual clauses, to protect your information.

6. Cookies and tracking

Cookies are small files saved on your device. We use them as follows:

Essential cookies keep the website secure and working and remember your cookie choices. These are always on.

Analytics cookies (Google Analytics) show us how visitors use the website so we can improve it.

Advertising cookies (the Meta Pixel and Conversions API, and Google Ads) measure how our adverts perform, help us show relevant adverts and let us reach people who have visited our website.

Embedded content such as Google Maps and our online booking panel may set their own cookies when they load.

When you first visit, our cookie banner lets you accept or decline analytics and advertising cookies. You can change your choice at any time with the Cookie settings link at the bottom of every page, or by clearing cookies in your browser. You can also manage adverts through your Facebook and Instagram ad preferences and Google’s My Ad Center.

7. How long we keep it

Enquiries that do not lead to a booking: up to XXXX.

Booking and guest records: for as long as needed for your stay or event, and then for XXXX to meet tax and accounting requirements.

Marketing preferences: until you unsubscribe or ask us to stop.

Website analytics and advertising data: for the periods set by the provider, for example 14 months in Google Analytics.

After these periods we delete your information or make it anonymous.

8. How we protect it

We use reasonable technical and organisational measures to protect your information, including encrypted connections (HTTPS) on our website and access limited to staff who need it. No method of sending or storing information is completely secure, but we work to protect it and will act promptly if anything goes wrong.

9. Your rights

Depending on where you live, you may have the right to:

Ask for a copy of the personal information we hold about you.

Ask us to correct information that is wrong or incomplete.

Ask us to delete your information, where we no longer need to keep it.

Object to, or ask us to limit, how we use your information, including for direct marketing.

Withdraw your consent at any time, where we rely on it.

Receive your information in a portable format, where applicable.

To use these rights, contact us using the details in section 13. We may need to confirm your identity and will respond within 30 days. You may also complain to a data protection authority: in South Africa the Information Regulator (inforegulator.org.za), or in the European Union or United Kingdom the authority where you live.

10. Children

Our website is not aimed at children under 18. We only hold information about children when a parent or guardian provides it as part of a booking.

11. Other websites

Our website links to other websites, such as our booking engine and our social media pages. Those websites have their own privacy policies, and we are not responsible for how they handle your information.

12. Changes to this policy

We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated at the top.
